Introduction 

The Engine Works Ltd is a Functional Fitness Gym, providing coach-led fitness classes, wellbeing workshops, and an open gym facility via monthly memberships and credit packs. 
This privacy notice explains what personal data (information) The Engine Works Ltd holds about you in relation to your membership or credit pack, and how it is collected, used, and shared. We are required to give you this information under data protection law. 

The types of information we may collect from you:

  • Full Name 
  • Date of Birth 
  • Contact information including contact number & email address 
  • Home Address
  • Emergency contact information (name & contact number)
  • Information about medical or health conditions, including whether or not you have a disability for which we need to make reasonable adjustments 
  • Preferences and interests 
  • Other information relevant to customer surveys and/or offers

How we use your personal information

The Engine Works Ltd needs to process your personal information in order to provide the best service to you, as well as the following: 
  • Internal record keeping 
  • In order to contact you via email or phone in relation to your membership or credit pack
  • Inform you of offers, promotions, website changes, and any new services that may be of interest, if you have consented for us to do so
  • We may use the information to improve our products and/or services
  • Other administrative purposes e.g. providing information regarding schedule changes

Why we collect information about you

We collect personal information about you when you sign up at The Engine Works as it enables us to process your membership or credit pack purchase, contact you as applicable in relation to your membership or credit pack purchase, and for administrative and marketing purposes. 

Who we share your personal information with 

We will keep any clinical information provided confidential and only pass it to, or receive it from, staff involved with your membership or credit pack at The Engine Works Ltd. By joining as a member, you are giving us permission to share information that relates to your health between members of staff.
In the event you fail to pay your monthly membership fee, we may pass your personal information to a debt collection agency. However, we will not sell, distribute, or lease your personal information to any other third parties unless we have your permission or are required by law to do so. 
We may use your personal information to send you promotional information about third parties which we think you may find interesting if you tell us that you wish for this to happen.

How we store your personal information 

Your personal information is securely stored within the organisation’s gym management system and in other IT systems including the organisation’s email system. 
We have put in place appropriate security measures to prevent your personal information from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal information to people who have a business need to see it. 

How long we will keep your personal information 

We will hold your personal information securely and retain it for as long as is required during your time as a member at The Engine Works Ltd, after which the information is archived or deleted as appropriate. 

Controlling your personal information 

  • It is your responsibility to keep all your personal contact details and how you want to receive marketing materials up to date. 
  • If you believe that any information we are holding on you is incorrect or incomplete, please email us as soon as possible at info@the-engineworks.co.uk
  • If you have previously agreed to us using your personal information for direct marketing purposes, you may change your mind at any time by emailing us at info@the-engineworks.co.uk 

Your data protection rights 

Under data protection law, you have the right:
  • To ask us for access to personal information about you that we hold

  • To request the deletion or removal of personal data where there is no compelling reason for its continued processing

  • To object to the processing of your personal information in certain circumstances
  • To ask that we transfer the personal information you gave us to other organisation, or to you, in certain circumstances

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you. We will always seek to comply with your request however we may be required to hold or use your information to comply with legal duties.
